The Heat Transfer Society (also referred to in the following as "HTS", "we", "us", "our", "it" or "its") treats the privacy of its members and users of this website seriously and we take appropriate measures to safeguard your privacy in accordance with the requirements of the UK Data Protection Act 1998, and the General Data Protection Regulation (GDPR).

The HTS seeks to only store data and personal information of its membership and not that of other persons unless as stated above, a non-member has themselves contacted the HTS to communicate with the HTS for any reason.
Existing members of the HTS have been issued with the HTS's Data Privacy Notice and new and future applicants for membership will also be issued with this Data Privacy Notice and the HTS Consent form to Store personal information in accordance with the UK Data Protection Act 1998, and the General Data Protection Regulation (GDPR).
DATA PRIVACY NOTICE of the heat transfer society for members
This notice explains your rights and the obligations that the heat transfer society (also referred to as 'HTS', 'we', 'us', 'our', 'it' or 'its' in the following) has with respect to the information we hold about you.
The personal details which you supply to the society and which we store on our database may be used as follows:
- a) To send you information relating to the society's activities (such as newsletters and details of our events). The committee may also decide from time to time to send information to the membership about other non-society events and possible job opportunities that it is aware of.
- b) For analysis to help us review our membership statistics and how this can help the committee to increase the society's membership and serve our current membership needs
- c) To check whether members have paid their annual membership fee.
Generally the only information and data that we hold about you is what was supplied on your membership application form, unless you have subsequently supplied further or other information. We need to ensure that the minimum age of applicants is 18 years old, however otherwise we do not hold information about a member's age or gender. The data that you may have supplied on your application form includes what your employer is/was at the time of your application; the main duties you perform in your work; the types of equipment you have been involved with; and the areas of activity you are involved in whether in industry, academia or another type. The application form also includes the names of the proposer and seconder for your application and the date that the application was made.
The society will not disclose any of your personal information to a third party unless it is legally required to do so.
All such information that the society holds will be stored either on paper in a secure location or if stored electronically it shall be in a password protected database or folder administered solely by persons appointed by the committee.
The society is legally obliged to provide you with all the information that it holds about you if you so request.
You are entitled to request further information from the society's committee on how your data is used and stored.
In the event of a breach of security of personal data or information, we shall inform you as soon as we become aware of such an event and we shall also inform the Information Commissioner of the same.
